VisibilityHQ is a service operated by Stories & Systems LLC ("VisibilityHQ," "we," "us," or "our"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website or services, you agree to this Policy.
1. Information we collect
Information you give us
- Contact & business details — your name, email address, business name, city, state, and the social/Google Business Profile handles you enter in our visibility quiz or other forms.
- Account & service data — information you provide when you become a client so we can deliver the service (e.g., access you grant to your Google Business Profile, Facebook, and Instagram).
- Payment information — processed by our payment provider; we do not store your full card number on our servers.
Information collected automatically
- Usage & device data — pages viewed, referring links, browser type, and similar analytics.
- Cookies & similar technologies — used for site functionality, analytics, and advertising measurement (see Section 5).
2. How we use your information
- To deliver your visibility plan and provide the services you request.
- To operate features such as review requests, missed-call text-back, social posting, and inbox/chat on your behalf.
- To send you service messages and, with your consent, follow-up marketing emails.
- To process payments and manage your subscription.
- To analyze, maintain, and improve our website and services.
- To comply with legal obligations and enforce our Terms.
3. Email & SMS communications
When you check the consent box on our forms, you agree to receive your visibility plan and follow-up emails from VisibilityHQ. You can unsubscribe from marketing emails at any time using the link in any message. Where our services send SMS on your behalf or to you, message and data rates may apply and you can reply STOP to opt out. We do not sell your contact information.
4. How we share information
We do not sell your personal information. We share it only with service providers that help us run VisibilityHQ, under contracts that limit their use of it. These may include:
- GoHighLevel / LeadConnector — CRM, forms, email/SMS delivery, and automation.
- Payment processor — to bill subscriptions securely.
- Google and Meta (Facebook/Instagram) — to manage your listings, posts, and reviews, and for advertising measurement.
- Hosting & analytics providers — to serve the website and understand usage.
We may also disclose information if required by law or to protect our rights, users, or the public.
5. Cookies & analytics
We use cookies and analytics tools (which may include Google Analytics and the Meta Pixel) to understand traffic and improve the site. You can control cookies through your browser settings; disabling them may affect some features.
6. Data retention
We keep personal information for as long as needed to provide the services, comply with our legal obligations, resolve disputes, and enforce our agreements. When it is no longer needed, we delete or anonymize it.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
8. Your rights & choices
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to opt out of certain uses. Our services are intended for businesses and are not directed to individuals under 18. We do not knowingly collect information from children.
